When can goods be returned?

Customer placed correct order, HMF delivered wrong part(s)

  • In writing, contact After Sales within 2 weeks from date of delivery, providing this information:

    • Quantity
    • Reason for returning
    • Invoice number
    • Original delivery date
  • After Sales provides return transport label
  • Parts are 100% credited when received
  • Free transport on replacement order.

Customer would like to return part(s) within 30 days

a. to reduce inventory
b. regrets order that has already been shipped
c. misplaced first order, orders new but finds the original

  • 20% handling fee charged by HMF Group, however minimum 20€ maximum 200€ charge for each part number

Example:

  1. 7 pieces of elbow connections/25737 are returned
  2. Distributor paid total price of 80€ for the 7 pieces (not real price, just example)
  3. 20% = 16€  HMF > charges minimum 20€
  • Distributor pays for return transport
  • Return within 30 days from the date of delivery.

Customer would like to return part(s) after 30 days/late returns

  • Later returns may be only partially possible as some parts cannot be resold at that point due to new revisions, significant warranty reduction etc.
  • To request late returns, this Template must be used
  • A Product Specialist in Aftersales will make a preliminary offer after receiving this list, depending on availability for resale. HMF reserves the right to reject goods, which turn out to be defective or otherwise not suitable for resale upon receipt
  • 20% handling fee charged by HMF Group, however minimum 20€ maximum 200€ charge for each part number

Standard conditions for return

  • Part is fault-free, no visual damage, nothing missing, fully functional
  • Part is suitable for reselling
  • Part price > 50 € per returned part # (makes no sense to return one part/ 5€, but it may be OK to return 10 of these on the same shipment)
  • Part is complete, not a part of a kit etc.
  • Part is not customized, e.g. painted in a special color. A special agreement may be possible depending on the case. HMF reserves the right at any time to decline. 
  • Part has never been mounted on a crane
  • Part has never been used
  • Hydraulic pipes, hoses, rubber parts, seal kits are not eligible for returns
  • HMF After Sales shall be informed in writing with required details before returning anything
  • Upon written acceptance from HMF After Sales, the returns may be sent
  • Returned goods must under no circumstances be mixed with warranty parts. This causes excessive extra work in our warehouse. Should this happen, HMF Group will invoice an amount representing the shipping costs of return parts plus a handling fee of 200 €
  • Returned goods that do not pass inspection/ do not appear as new from factory, will be subject to further reductions depending on the condition (example: slewing cylinder with scratches was credited by 50% instead of 80%). If distributor does not accept the rate, HMF Group offers to send the part back for a fee of 35€ (½ hour handling), distributor pays freight.

 

Packing and shipment

  • Each lot (pallet, box, etc.) must be marked with the text: “RETURNED GOODS”
  • Ensure that the parts are easily identifiable
    • Include copy of invoice or packing slip/ delivery note and the e-mail confirming that agreement has been made to return.
    • If sending many parts from various deliveries, use the Excel template and include a copy after the sheet has been formally approved
  • Returned goods must all be marked individually with part number
  • Returned goods must under no circumstances be mixed with warranty parts (fee involved)
  • Returned goods must be carefully packaged to avoid damage, preferably use same packing as part was delivered in.

Crediting

Received parts are credited within 5 working days from arriving at HMF Group, provided they pass inspection.
